Governing the IDOC website, membership services, accounts, and seminar registrations

These Terms of Service govern access to and use of idoc.club, IDOC accounts and member services, membership purchases and renewals, and registrations or payments for IDOC seminars and related activities. By creating an account, agreeing during onboarding, purchasing or renewing membership, registering for a paid IDOC seminar, or otherwise using an IDOC service that refers to these Terms, you agree to be bound by them.

If you do not agree to these Terms, you should not create or continue using an IDOC account or purchase IDOC membership or paid services.

1. About IDOC

International Dressage Officials Club (IDOC) is an international club based in Belgium serving dressage officials and related professionals. IDOC supports education, professional exchange, networking, seminars, meetings, information-sharing, and other activities relevant to the dressage-officials community.

IDOC is independent from the Fédération Equestre Internationale (FEI). IDOC may publish or link to FEI rules, notices, educational material, databases, courses, or other FEI resources, but IDOC does not control the FEI and cannot grant, guarantee, renew, alter, or certify FEI status, accreditation, appointments, course credit, eligibility, or regulatory decisions unless expressly authorized to do so.

2. Eligibility and membership categories

IDOC membership is intended for eligible dressage officials and related professionals. The website currently supports Judge, Steward, Judge & Steward, and Veterinarian memberships. You must provide accurate, complete, and current information required for your selected membership category.

Creating an account or completing onboarding does not itself create paid membership entitlement. Member-only access begins only after IDOC records a valid membership payment or another authorized membership grant or adjustment.

3. Membership fee and term

The standard IDOC membership fee is €80 for a rolling 12-month term. A new paid membership begins on the successful payment or authorized effective date. An early renewal normally adds 12 months to the current paid-through date; a renewal after expiration normally begins a new 12-month term on the successful payment date.

IDOC may change pricing for future purchases or renewal periods. A change does not retroactively alter a term already paid.

4. Automatic renewal and non-recurring payment

At online payment, IDOC may allow you to choose whether the annual membership renews automatically. Automatic renewal is currently selected by default for the billing choice, but you may turn it off before payment or later change the renewal preference in Billing Settings. This billing choice is separate from any optional marketing consent.

If automatic renewal is enabled, the payment method is charged the then-applicable annual membership fee at the next renewal date unless the preference is turned off before the charge is processed. Turning automatic renewal off does not normally end the already-paid term. If automatic renewal is not enabled, no annual subscription is created for that payment.

5. Failed payments, grace period, expiration, and suspension

When an automatic renewal fails, or when a non-recurring paid term ends without renewal, IDOC may provide the five-calendar-day grace period defined in its membership rules. If no qualifying payment is recorded by the end of the applicable grace period, membership may expire and the account may be restricted to payment and logout until entitlement is restored.

IDOC may suspend membership or access where permitted by its statutes, internal regulations, applicable policies, or law, including where reasonably necessary to protect IDOC, its members, systems, or legitimate operations.

6. Cancellations and refunds

6.1 Membership

Turning off automatic renewal before the next scheduled charge prevents future renewal charges when successfully processed; it does not normally create a refund for the current paid term.

Refunds are discretionary administrative actions and are not automatic. An IDOC administrator may approve a full membership refund, including where a member was unintentionally charged for an automatic renewal and no longer wishes to remain a member, or where a recurring charge occurred after an approved non-recurring payment for the same membership period had already been made. Partial membership refunds are not part of IDOC's normal policy. A refund requires administrator authorization and a recorded reason, and IDOC preserves the original payment history.

6.2 Seminar and event payments

A seminar or event registration may be canceled at the discretion of an IDOC administrator. Cancellation does not automatically entitle the registrant to a refund. If IDOC approves a seminar refund, the normal policy is a full refund of the relevant IDOC-collected payment; partial refunds are not part of the normal policy. Cancellation and refund remain separate recorded facts.

6.3 Mandatory legal rights

Nothing in these Terms limits any refund, withdrawal, cancellation, or consumer right that cannot lawfully be excluded or restricted. Where mandatory law is more favorable than IDOC's normal administrative refund policy, mandatory law prevails.

7. Seminars, courses, events, and educational content

IDOC may advertise, organize, facilitate, or accept payment for seminars, meetings, courses, conferences, and educational activities. Event-specific information such as dates, location, capacity, eligibility, instructors, prices, included items, deadlines, and cancellation conditions forms part of the applicable registration terms.

Unless expressly stated otherwise, registration through IDOC does not guarantee FEI course approval, maintenance credit, promotion, transfer-up eligibility, licensing, appointment, accreditation, or any other decision controlled by the FEI, a National Federation, or another third party.

Participants are responsible for their own travel, accommodation, visas, insurance, and related expenses unless an event description expressly states otherwise.

8. Accounts and security

You are responsible for protecting your password, verification codes, authenticator credentials, recovery information, and devices. IDOC may use email verification, multi-factor authentication, trusted-device controls, anti-bot protections, rate limiting, audit logging, and fraud or abuse detection. You should notify IDOC promptly if you believe an account or credential has been compromised.

9. Member directory and professional information

IDOC may provide a directory to currently entitled members containing limited professional information about other currently entitled members, such as name, country, professional role or level, National Federation, and IDOC region. The directory is intended for legitimate professional and club-related use.

You must not scrape, systematically harvest, resell, republish, profile, or use directory information for unsolicited bulk marketing, harassment, discrimination, or another incompatible or unlawful purpose.

10. Acceptable use

  • Do not access another person's account or data without authorization.
  • Do not bypass authentication, authorization, payment, rate-limit, or other security controls.
  • Do not introduce malware, conduct attacks, scrape the service, or make abusive automated requests.
  • Do not submit false, fraudulent, unlawful, defamatory, abusive, or infringing material.
  • Do not use directory information for unauthorized mass marketing or solicitation.
  • Do not falsely imply IDOC, FEI, National Federation, accreditation, or other endorsement or authority.

11. Intellectual property

Unless otherwise indicated, IDOC names, logos, original website content, design, databases, compilations, and educational materials are owned by or licensed to IDOC and protected by applicable intellectual-property law. Third-party materials, including FEI materials, remain subject to the rights and terms of their respective owners.

12. Third-party services and links

IDOC relies on third-party providers for functions such as payment processing, hosting, database infrastructure, email, security, and monitoring. Links to third-party sites are provided for convenience or reference; IDOC does not control their content, availability, security, policies, or services.

13. Website information and professional reliance

Dressage rules, official statuses, course requirements, competition regulations, calendars, and third-party materials can change. You remain responsible for checking current authoritative rules and requirements of the FEI, relevant National Federation, event organizer, or other competent body before acting on regulatory or professional information.

14. Availability, changes, and termination

IDOC may maintain, modify, suspend, replace, or discontinue website features when reasonably necessary and may temporarily restrict access for maintenance, security, legal, or operational reasons. IDOC may restrict or terminate access for non-payment, serious misuse, security needs, or where required by law or applicable IDOC rules.

15. Disclaimers and limitation of liability

To the fullest extent permitted by applicable law, the website and general informational materials are provided on an as-available basis. IDOC does not warrant that every item of third-party or regulatory information will always be complete, current, or error-free. Nothing in these Terms excludes liability that cannot lawfully be excluded or limited.

16. Privacy and electronic communications

IDOC processes personal data as described in its Privacy Policy. Acceptance of these Terms is not blanket consent to all personal-data processing. Processing necessary to create and administer an account, membership, payment, security, or legal records may rely on contract, legal obligation, or legitimate interests as described in the Privacy Policy.

Optional promotional communications are separate. Where IDOC relies on consent for marketing, that consent must be a separate affirmative choice and may be withdrawn without affecting membership or essential account, payment, security, renewal, or service communications.

17. Changes to these Terms

IDOC may update these Terms to reflect changes in law, services, technology, membership administration, or club operations. The current version will be posted on the website with its last-updated date. Material changes affecting existing paid memberships will be notified where required by law.

18. Governing law and disputes

These Terms are governed by the laws of Belgium, without prejudice to mandatory protections that apply under the law of a member or consumer's country of residence. Subject to mandatory jurisdiction rules, disputes shall be submitted to the competent courts having jurisdiction in Belgium.

19. General provisions

If any provision is unenforceable, the remaining provisions remain effective to the fullest extent permitted by law. These Terms operate together with applicable event-specific conditions, IDOC statutes, internal regulations, and policies expressly incorporated into a service. Mandatory law prevails over conflicting contractual language.
